• Post-Secondary School Education in medical secretary/medical transcription or equivalent combination of education (minimum of grade 12) and relative working experience.• Must have demonstrated typing and other basic clerical skills including computer/word processing, e-mail and faxing experience.• Medical Terminology course completed through a recognized college.• Strong public relations/team/customer service communication skills.• Demonstrated experience with Microsoft programs including Word, Excel and Outlook.• Ability to learn EMHware computer software for patient registration/booking, scanning, running reports and data entry.• A strong interest in process improvement that is patient centered.• Must be able to accept direction and work with minimum supervision.• For internal candidates, disciplinary and attendance records will be considered.
• Communicates and collaborates effectively with all hospital staff and community partners in care in day-to-day operations involving clients and families.• Functions as the unit’s receptionist by greeting and registering clients, answering phones using AIDET process, and re-routing calls to crisis workers.• Coordinates all client appointments overseeing booking, rescheduling, canceling, and reminder calls.• Prepares daily appointment schedules for crisis workers in excel.• Assists Manager with payroll, including entering into payroll software and liaises with staff scheduling office where appropriate.• Makes and corrects changes to time sheet and on-call record.• Maintains patient privacy and confidentiality according to PHIPA.• Maintains client medical records and processing admissions to the program.• Completes reports and compiles data for team leader and finance.• Orders office supplies and pick up as necessary.• Completes typing/word processing for the Crisis Intervention Centre.• Participates and maintains occupational health and safety standards.• Records and completes audits as assigned.• Completes mandatory annual education.• Participates in quality improvement activities. • Other duties as assigned.
